HR Department
The HR Department plays a crucial role in supporting the organization’s activities by managing employee relations, recruitment, and professional development. It is responsible for ensuring a positive and efficient working environment, as well as creating and implementing internal policies. The department oversees the hiring process, facilitates onboarding, manages payroll operations, and supports ongoing training initiatives. It ensures that both the organization’s and employees’ needs are met through effective and professional performance.

HR Department
Within VBET, the Organizational Development structure consists of three main departments:
- HR Administration
- Talent Acquisition
- Business Partner
Department Functions
HR Administration
The HR Administration department covers the full administrative block, from employee onboarding to termination. This includes:
- Registration in the Tax System and HR software
- Preparing contracts
- Ordering bank cards (if necessary)
- Managing vacations, sick leaves, official references
- Rewards and disciplinary actions
- Timesheet verification and approval
- Daily administrative tasks
- Terminations and final settlements
Talent Acquisition
This department is responsible for filling vacant positions. The main processes include:
- Posting job ads on relevant platforms
- Discussion with department leads
- Filtering applications
- Organizing interviews
- Summarizing results and inputting data into internal systems
- Sending rejection emails to unqualified candidates
- Organizing background checks for selected candidates
- Sending job offers
- Coordinating the hiring process
Business Partners
The Business Partner department acts as a strategic consultant and liaison to ensure HR practices align with the objectives and needs of different business units. Business Partners serve as intermediaries between employees and the company to create balance and mutual understanding.
Each Business Partner is assigned to specific departments and handles all HR-related processes for their units. Their functions include:
- Executing onboarding for new employees
- Planning and organizing employee business trips
- Overseeing stockroom inventory: entries, withdrawals, and tracking
- Coordinating the activities of the administrative procurement team
- Managing orders and expenses for office supplies and stationery, and maintaining statistics
- Planning and executing internal events, while overseeing related expenses
- Designing and implementing corporate culture programs, including:
- Organizing employee birthdays
- Loyalty programs
- Social initiatives
- Team-building games and activities
- Overseeing office space and resolving household issues
- Supervising employee transportation, resolving related issues, and creating guidelines
The Department is Also Responsible for Performance Evaluation, Including:
- Defining and reviewing employee seniority levels (junior, middle, senior)
- Auditing task completion
- Evaluating the performance of individual team members and overall team effectiveness
Responsibility Zones of the Department
- All administrative issues, such as clarification regarding employment contracts, vacation requests, timesheet accuracy, provision of official references, ordering bank cards (when necessary), and other administrative matters, fall under the responsibility of the HR Administration Department.
- Annual leave must be requested (via EVE) at least one week in advance, except for urgent one-day leaves, which can be requested the day before or after the intended leave.
- VBET HR Administration does not manage Day Off requests. For these, employees should contact one of the SoftConstruct Administrative Analytics staff members (e.g., Metaksya Mkhitaryan).
- When submitting online leave requests, make sure the relevant department is specified under VBET.
- All recruitment process organization and implementation is handled by the Talent Acquisition Department.
- The entire process of performance evaluation and measuring effectiveness is the responsibility of the Performance Evaluation Unit.
- The HR Operational Department is responsible for employee onboarding, distribution of supplies, warehouse operations, and the economic and technical maintenance of the office.
